Alibaba Trade Assurance: what it covers, what it costs and where it stops
Published by Manufacturer Quotes. Editorial policy. Updated .
Short answer
Alibaba Trade Assurance is Alibaba.com's order protection: if a supplier ships late or sends goods that miss the agreed specification, you can claim a refund. The program is free for the buyers[1], but a payment cannot be protected if it was made outside of the platform[2], and claims are judged against the terms in the order.
By the end of the next business day we email you up to five named manufacturers that fit, or tell you if none do.

Trade Assurance is a promise the supplier makes about your order, enforced through Alibaba.com's dispute process. Its rules describe it as an undertaking and obligation of Seller to provide assurance to the Buyer as stipulated in the Purchase Contract[3]. They make the supplier solely responsible for it, and Alibaba.com runs the dispute and decides it. If it rules for you, the rules let its companies refund to the Buyer for and on behalf of the Seller in the amount up to the total sum of Frozen Fund and Trade Assurance Amount[3].
The rules quoted here are Part A of the Trade Assurance Services Rules, which apply to suppliers registered or resident in Mainland China[3]. For a supplier elsewhere, read the rules linked from your order. The English text of these rules is for reference purposes only[3], and the dispute rules say of their own text that if the versions differ, the Chinese version shall prevail[4]. So a translation question goes the Chinese text's way.
The rules cover two kinds of failure:
- Shipping. The supplier ships out products later than the Shipment Date or does not ship out the products at all[3]. Claim before you accept delivery. Once the proof of delivery shows you signed, Alibaba.com will not support the Buyer’s Refund or Return of Products and Refund request[4] for a late shipment unless the supplier agrees, or it got you to confirm receipt by improper means. Goods left at a place you named, such as a marketplace fulfillment center or a third-party warehouse, count as signed for: the Buyer shall be deemed to have signed for receipt of the products personally[4]. If you and the supplier agree a delay, the dispute rules say they shall confirm in writing[4]. Put the new ship date in the order chat.
- Quality. The supplier fails to deliver goods that match the description and specifications in the order. That counts when the failure would result in a significant loss of the value of the goods, or render the main commercial objectives of the transaction, which were known or should have been known to both parties, impossible to achieve[3]. Missing ownership or delivery documents, and other material breaches of the order, are covered too.
Smaller faults get a price reduction or a return, and faults within tolerance count as minor (see the refund section below). So write numeric tolerances into the order; otherwise industry practice decides.
What it does not cover
- Money paid outside the platform. Alibaba.com's help center is direct: a payment cannot be protected if it was made outside of the platform[2]. That includes a deposit wired to an account the supplier sends you by email or in another chat app. A supplier who asks for that is asking you to give up the protection; see is Alibaba legit.
- Anything above the cap. A refund cannot exceed the total sum of Trade Assurance Amount and Frozen Fund[3] under the order, plus any inspection fee you paid. The Frozen Fund is the part of your payment above the order's Trade Assurance Amount, so together they come to what you paid on the order. The supplier's Trade Assurance Amount is for the Buyer's reference only and does not affect the refund[3].
- Losses nobody agreed in advance. Alibaba.com can decline a claim for compensation other than transaction-related expenses, which include the purchase price, inspection fees, shipping costs and bank charges[4]. It does support damages set out in advance, where buyer and supplier agreed in the Purchase Contract or in their communications on liquidated damages or compensation clauses[4]. Even then the amount shall not exceed the actual amount paid for the order[4], so lost sales beyond what you paid stay with you.
- Carrier delays short of the delivery deadline. On orders shipped with Alibaba.com Logistics, a late delivery can earn 5% delay compensation[5], up to USD 100[5], paid as a coupon which can be used for future purchases[5]. The page does not say what the percentage is taken of. A longer delay is a different case: the dispute rules say that where the goods have not been delivered by the expiration of the Delivery Deadline, the transaction shall support a refund to the Buyer[4], and that a delay in transit falls on the party at fault. The deadline is the delivery date agreed in the order or, without one, a default the rules set by shipping mode, so write a delivery date into the order. Both are separate from a claim for late shipment by the supplier.
- Terms nobody wrote down, or wrote elsewhere. The dispute rules may set aside offline written contracts, telephone calls, e-mails, and third-party instant chat tools[4] unless both sides accept them. Where records conflict, the terms agreed more recently shall prevail[4], so a later "ok" in chat can override your spec. Attach the spec and the reference of your approved pre-production sample to the order, and name the Incoterms rule.
How much Trade Assurance costs
The program itself is free for the buyers[1]. What you may pay is a processing fee for the payment method you choose online. Alibaba.com says the fee depends on the method and shows the amount at checkout. Its per-method rates can change, so we have not printed them: compare methods at checkout before you pay a large balance.
How to keep an order covered
- Place it as a Trade Assurance order on Alibaba.com, not as an invoice or a bank transfer arranged in chat. How to order from Alibaba walks through the steps from the first message to the draft order.
- Pay the full amount through the platform before the goods ship. Check out online, or wire only to the bank details Alibaba.com shows for that order. Where the supplier drafts the order, the rules say the contract shall be deemed established and effective only if the Buyer completes payment in full[3] before it ships, unless you use a pay-later method. A deposit now and the balance after shipping can leave the order without cover, so inspect before you pay the balance, and pay it before shipment.
- Put the whole deal in the order: the specification with tolerances, the approved sample, the quantity per color and size, how the goods are packed, when and how they are checked, when they ship, and when they must arrive.
- Keep agreements in the official Alibaba.com chat tool[4]. Under the dispute rules, messages there are a basis for a decision. Email, calls and outside chat apps may be set aside.
- Inspect as soon as the goods arrive. The payment will only be released to the supplier after you manually confirm receipt of the order, or the system automatically confirms delivery upon expiration of the inspection period[2]. The serious-defect deadline counts from receipt, not from when you confirm it (see the table below). For goods the supplier sends by express courier, an unbroken unboxing video, from the intact carton through to the damage, may be accepted as evidence of transit damage if you find it within 7 days after accepting the goods[4]. If your goods go straight to a fulfillment center or a third-party warehouse, nobody may open a carton in time, so an inspection before shipment is your practical evidence.
How a Trade Assurance dispute works
Start by asking for a refund from the order page. If you cannot agree, the case escalates, and Alibaba.com's dispute team mediates and then decides. The deadlines, in the order you meet them:
| Step | Deadline |
|---|---|
| You report a serious defect | within 14 days after receipt[4], or the goods are treated as free of one |
| You open a dispute after delivery | within 30 days following the Buyer's confirmation of receipt or the system's automatic confirmation of receipt[4]; higher-level buyer accounts get longer |
| The supplier answers your refund request | within 3 business days[6], or the dispute escalates automatically |
| You answer the supplier's reply | within 5 normal days[6], or the request is extended and then canceled |
| Both sides send their evidence | no later than 2 Business Days after making an application for dispute resolution[4]; have any lab or inspection report in hand before you apply |
| You upload your case after escalation | within 3 days; otherwise, the dispute will be closed by the system[6] |
| You send goods back after an agreed return | upload the return information within 15 days[7] of the agreement, or the case is canceled |
| You challenge Alibaba.com's decision | apply for arbitration at HKIAC and notify Alibaba.com within 20 calendar days after the date of receipt of Alibaba.com's determination[8] |
The two evidence deadlines in the table are set differently, the rules' from your application and the help center's once the case has escalated, so meet both. Under the transaction services agreement, the route to challenge a decision is arbitration, except where the law that applies to you says otherwise. If neither side applies in time, both are treated as having accepted the decision. The rules we read set no time limit for Alibaba.com's own decision.
What evidence wins a claim
For defects you can see, send photos or video. For defects you cannot see, such as fiber content, a chemical limit or an electrical fault, you need an inspection report issued by a qualified institution for non-conformities not identifiable by the naked eye[4]. The party that claims pays for the third-party inspection first, and the party at fault bears it in the end.
A check before shipment gives you more than evidence. Say the order provides for an inspection before shipment, the inspection finds the goods do not match, and the supplier does not fix them in the agreed time. Then the dispute rules say Alibaba.com shall support the Refund application by the Buyer[4]. That is the case for booking a quality inspection and writing it into the order, so a bad lot stops at the factory.
Alibaba's refund policy: what you get back
The dispute rules sort a failed order into grades:
- Material non-conformity: the goods fail to work, are unsafe, cannot be used, or depart so far from the agreed specification that the purpose of the order is lost. You can ask for a return and a refund, and the supplier pays the return shipping. You must report it within 14 days after receipt[4].
- General non-conformity: color or size outside the agreed tolerance, or a fault that leaves the main function working. You can keep the goods for a price reduction, where Alibaba.com sets a refund ratio of 10% to 50% based on the degree of non-conformity[4]. Or you can return them for a refund, with the return shipping shared according to fault; on a sea shipment that freight can be large.
- Minor non-conformity: a fault that falls within the agreed tolerance or the permissible range of industry practice, and a refund request may not be supported[4].
In every case the refund stops at the cap described above. The rules' examples of transaction expenses do not name import duty, so do not count on recovering it; treat it as a risk in your landed cost, not as part of a refund.
The help center says refunds are generally processed within 3 working days once an agreement has been reached[9]. For a return, the help center says: After you have uploaded the return information and the seller has confirmed receipt, Alibaba will process the refund[7]. After a decision, the rules set remittance, under normal conditions, within 10 Working Days after the Buyer provides correct and compliant bank account information[3]. A refund to an international wire transfer carries a processing fee of $30[9].
Is Alibaba Trade Assurance safe?
It is real protection for what it covers, with limits to read before you rely on it. The assurance is the supplier's and the refund is capped. The decision is Alibaba.com's, and arbitration is the route to challenge it.
On the money itself, read Alibaba.com's two documents together. The help center says your payment is held in escrow[2] until receipt is confirmed. The transaction services agreement says that, for its payment services, Alibaba.com is not acting as a trustee, fiduciary or escrow with respect to User's funds[8]. It adds that, once it has decided a dispute, Alibaba.com may dispose of the funds held by Alibaba.com according to such determination[8]. In practice the platform holds the payment inside its process and releases or refunds it according to its decision, but Alibaba.com does not hold it in trust for you.
The Trade Assurance rules we read set access requirements for suppliers without saying what they check, and they promise you nothing about who the supplier is. The dispute rules do oblige a supplier that uses other factories to give you something. If you ask during the transaction, it must provide the full name, email, telephone number and physical business address of the third-party supplier or manufacturer[4]. Asking gets you a name to check against a trading company story, and a complaint route if the supplier refuses.
Card or wire: choosing how to pay
A card can give you a second route, since your card issuer may offer a chargeback on its own terms, which we have not checked. Do not run both at once. The dispute rules let Alibaba.com end a dispute when a buyer who paid by card applies to the card issuer for a chargeback for the transaction in dispute while applying to Alibaba.com for dispute resolution[4].
A wire has no chargeback. The Federal Trade Commission's consumer advice on wiring money warns that once you wire money to a scammer, there's usually no way to get your money back[10]. On Alibaba.com a wire is covered only when it goes to the bank details the platform gives you for that order. If a wire went to the wrong account, call your bank at once and ask whether it can recall the payment.
When Trade Assurance is not enough
The rules we read make Trade Assurance a refund process with deadlines, not a check on the factory or the goods before you pay. For a first production run, book a third-party inspection before the balance, keep the approved sample, and treat the program as the backstop. To compare other ways to source, see Alibaba alternatives.
